Cancellation and Rescheduling Policy

Therapy Appointments must be canceled or rescheduled at least 48 hours in advance of the session time.

Phone Consultations to assess our fit together and ask questions are free of charge.

Late cancellations (cancellations received under 48 hours) and no-show appointments (a client does not attend the scheduled session without notifying the clinician, or arrives after the 15-minute grace period that begins at the start of the scheduled session time), will be charged the full session fee.

The clinician will not be present to hold the session after the 15-minute grace period, and the session for that day will be considered a no-show. Insurance and Thrizer do not cover or reimburse missed appointments. This policy applies regardless of the reason for cancellation, including illness or emergency, unless otherwise discussed with your clinician. Inconsistent attendance may result in changes to weekly standing appointments or termination of treatment.

Flexible Rescheduling

If you cancel within 48 hours and reschedule within the same calendar week as the canceled session, and a mutually available time is found, the late cancellation fee will be waived.

This exception applies only if a new appointment time is available and agreed upon by both you and your clinician, the client initiates a request for rescheduling a new appointment within 48 hours of their cancellation, with availability provided, and lastly, the rescheduled session has been attended, and the time allotted for that session has been fully completed by both the client and the clinician.

Embody Therapy Clinician-Initiated Cancellations

In the event that your scheduled clinician must cancel your appointment with less than 48 hours’ notice of the scheduled session start time, you will receive one “freebie” — meaning you will not be charged a fee for one future late cancellation or no-show, should it occur.

In the event that your scheduled clinician cancelled your appointment more than 48 hours in advance of the scheduled appointment time, there is no “freebie” gained. Clients are not charged any fees in the event that the scheduled clinician has cancelled, regardless of the timeframe in which the cancellation has occurred. This is Embody Therapy’s method of honoring mutual respect and fairness in the therapeutic relationship.

Your session time is reserved specifically for you. Late cancellations and no-shows prevent that session time from being offered to another client who may be in need of support. This policy helps maintain fairness, consistency, and access to care while allowing reasonable flexibility when needed.

If you have questions about this policy or wish to discuss special circumstances, please don’t hesitate to reach out.

If inconsistent attendance continues after discussion, the therapist may conclude that therapy is not currently a good fit and may provide referrals for alternative services.
